When Experience Becomes Knowledge
Most organizations possess far more experience than they possess knowledge. Although the words are often used interchangeably, they describe fundamentally different things. Experience belongs to individuals. It accumulates quietly through years of observation, countless decisions, unexpected failures, successful recoveries, and ordinary days that gradually reveal how complex systems actually behave. Much of what experienced engineers know was never written in a manual or taught in a classroom. It emerged slowly through repeated encounters with reality until it became part of how they perceive the systems entrusted to them. Knowledge begins only when those individual experiences become durable enough to survive the people who acquired them.
Buildings teach continuously. Every season, every maintenance activity, every operational adjustment, and every unexpected condition offers another opportunity to learn. A sequence that behaves differently during a summer heat wave, a pump that consistently requires attention before anyone expected, or an interaction between two control strategies that only becomes visible after months of operation all contribute to a growing understanding of how a particular facility truly functions. These lessons are often subtle. Individually they may appear insignificant. Collectively they become the practical wisdom that allows experienced operators to anticipate problems before alarms sound and to recognize patterns long before they become failures.
Yet organizations frequently assume that experience naturally becomes organizational knowledge. In practice, the opposite is more common. Experience tends to remain attached to the individuals who earned it. Engineers retire. Operators transfer. Consultants complete their work. Project teams dissolve. The building remains, the drawings remain, and the operating manuals remain, yet something essential quietly disappears. Not information. Understanding. The organization retains records of what was built and perhaps even what occurred, but gradually loses the accumulated reasoning that explained why particular decisions were made, which operating practices proved effective, and which hard-earned lessons should never have to be learned twice.
This helps explain why organizations often encounter the same operational challenges generation after generation. The previous solution was not necessarily forgotten because it lacked value. More often, it was never transformed into knowledge that belonged to the organization rather than to the individual. Every undocumented lesson becomes an invitation to repeat the same investigation, ask the same questions, and rediscover what someone else already understood years earlier. The resulting inefficiency is rarely dramatic enough to attract immediate attention. Instead, it appears as a slow, continual loss of accumulated understanding that few organizations recognize until key personnel leave or a familiar problem unexpectedly returns.
The phenomenon extends well beyond buildings. Aviation, medicine, manufacturing, scientific research, and nearly every discipline involving complex systems face the same challenge. Experience is generated every day, yet only a fraction becomes lasting organizational memory. Mature organizations recognize this distinction. They devote considerable effort not merely to documenting events, but to preserving the relationships that gave those events meaning. Information records what happened. Understanding preserves why it mattered, under what conditions it occurred, how people responded, and what future practitioners should recognize when similar circumstances arise again.
Perhaps this is one of the quiet responsibilities shared by every experienced engineer. Technical expertise is measured not only by the ability to solve difficult problems, but by the ability to ensure that the solution outlives its creator. Buildings continue teaching throughout their lives. The question is whether the organizations responsible for them continue learning. Experience accumulates naturally. Knowledge requires intention. The difference between the two often determines whether each generation begins where the previous one finished—or whether it must begin the journey all over again.
